Vendor Policy

Effective June 2026. At BurnerMarket, we partner with vendors who share our commitment to quality, clean ingredients, and sustainable practices. This policy sets out the standards all vendors must meet and maintain throughout our partnership.

Vendor Onboarding and Vetting

All prospective vendors must complete our onboarding process before products are listed on BurnerMarket. This includes:

  • Submitting a completed Vendor Application Form with full company and product details.
  • Providing product samples for quality review by the BurnerMarket team.
  • Supplying relevant certifications (e.g. organic, non-GMO, fair trade, food safety), test results, or third-party audit reports as applicable.
  • Agreeing to the terms of this Vendor Policy before onboarding is complete.

BurnerMarket reserves the right to decline any application that does not meet our standards.

2.

Product Quality and Standards

2.1 Clean Ingredients

"Clean" means products made from whole, natural, or minimally processed ingredients with no artificial colours, flavours, sweeteners, or preservatives. Specifically, products must:

  • Contain no synthetic additives, artificial flavours, or chemical preservatives.
  • Be free from ingredients on BurnerMarket's Restricted Ingredients List (available on request).
  • Disclose all ingredients in full — no proprietary blends that obscure composition.

2.2 Health Focus

We prioritise health-conscious products. Vendors are encouraged to offer options catering to common dietary needs, including gluten-free, vegan, and organic. Any health claims must be substantiated and compliant with applicable regulations.

2.3 Labelling and Transparency

All product packaging must clearly display:

  • Full ingredient list and nutritional information.
  • Expiration or best-before date.
  • Allergen declarations in line with local regulations.
  • Any relevant certifications (organic, non-GMO, fair trade, etc.).

Ethical Sourcing and Sustainability

  • Sustainable Practices: Vendors must use environmentally responsible practices across their supply chain and packaging. Recyclable, biodegradable, or reusable packaging is strongly encouraged.
  • Fair Labour: Vendors must comply with all applicable labour laws and ensure workers are treated ethically and paid fairly throughout their supply chain.

Regulatory Compliance

Vendors are responsible for ensuring their products comply with all relevant local, national, and international laws. To demonstrate compliance, vendors must:

  • Provide copies of applicable certifications, licences, or test results upon request.
  • Consent to periodic audits or third-party assessments arranged by BurnerMarket, with reasonable notice.
  • Notify BurnerMarket promptly of any regulatory action, product recall, or safety concern affecting their products.

Partnership Expectations

  • Consistency: Products must consistently meet agreed specifications. Any changes to formulation, packaging, pricing, or availability must be communicated at least 30 days in advance.
  • Communication: Vendors must respond to BurnerMarket enquiries within 2 business days and maintain up-to-date contact details.
  • Innovation: We welcome ongoing product development and encourage vendors to share new or improved offerings with our team.
6.

Branding and Intellectual Property

Vendors grant BurnerMarket a non-exclusive licence to use their product names, logos, images, and descriptions for marketing and selling their products on the BurnerMarket platform. Vendors must:

  • Ensure all assets provided are owned by them or they have the right to license.
  • Not use the BurnerMarket name, logo, or branding without prior written approval.
  • Notify BurnerMarket of any intellectual property disputes that may affect their products.

Code of Conduct

Vendors must operate with integrity and in alignment with BurnerMarket's values. This means:

  • Acting honestly and transparently in all dealings with BurnerMarket and its customers.
  • Not engaging in misleading advertising, false claims, or deceptive practices.
  • Protecting the health and safety of customers at all times.
8.

Termination of Partnership

8.1 Termination by BurnerMarket

BurnerMarket may terminate a vendor partnership for cause — including non-compliance with this policy, product safety issues, or ethical violations — with immediate effect and written notice. For terminations not related to cause, BurnerMarket will provide 30 days' written notice.

8.2 Termination by Vendor

Vendors wishing to end the partnership must provide at least 30 days' written notice to allow for orderly wind-down of listings and fulfilment of outstanding orders.

8.3 Outstanding Orders

Upon termination, vendors remain responsible for fulfilling any orders placed prior to the termination date, unless otherwise agreed in writing.

8.4 Dispute Resolution

Both parties agree to attempt to resolve disputes in good faith through direct negotiation before escalating to formal legal proceedings. If negotiation fails, disputes will be referred to mediation before either party commences litigation.

9.

Policy Review

This policy is reviewed annually and updated as needed. Vendors will be notified of material changes at least 14 days before they take effect, and continued partnership constitutes acceptance of the updated terms.
